Important Information about Speaker Proposals
-Presentation proposals for The HRSouthwest Conference are accepted only through the official, online speaker portal
-We do not compensate or pay expenses for our Conference Session speakers. However, the size and decision-making authority of our audience provides an outstanding opportunity for speakers to increase their visibility and establish valuable contacts with a targeted HR audience. In addition, if selected as a Conference Session speaker, you will receive a complimentary full Conference registration valued at $915.
-Promotion of your business or products (including sale of audiotapes and books), solicitation of attendees and/or videotaping during your session are not permitted. We will make every effort to have your published book available for purchase in The Conference bookstore (see page 6).
-Speakers will be selected from an expected 250-300 proposals. Speakers are carefully evaluated and selected based on their proposed topic and individual qualifications. For this reason, speaker substitutions are not permitted without prior approval of The HRSouthwest Conference. Before submitting a proposal, please be sure that you will be able to keep your commitment to appear as scheduled, if selected.
-With your permission, recording of your session will be made available for purchase by attendees via the Online Learning Center
. Speakers who agree to have their sessions taped will also receive a complimentary recording of their presentation.
-The information submitted in your Presentation Proposal, including session title, session outline and biographical information, may be edited due to space limitations, style and/or clarity, and will be used in our publications, on our website, and to develop the introduction for your educational session.
-Conference attendees will have access to printable handouts via the Online Learning Center
. If you are selected as a speaker, we will need to receive your presentation handout several weeks prior to the conference (Word, PowerPoint or PDF). In addition, we strongly encourage speakers to bring printed copies of their presentation to make available onsite to those who attend their session. You are responsible for bringing your own handouts. For your convenience, we have partnered with a vendor who can print, collate and ship your handouts prior to the conference. Information on this vendor will be provided if you are selected.
Important 2013 Deadlines
February 22 — Deadline to submit Educational Sessions speaker proposal
August 12 - Deadline to submit special audio/visual requests
September 25 — Deadline to submit handouts to be available for download from the Online Learning Center
October 9 — Deadline to ship handouts to The HRSouthwest Conference office for delivery to the Convention Center. If shipment will arrive after October 9, please follow the shipment instructions below.
Hotel & Travel
Should you require overnight accommodations, hotel booking is available at Travel & Hotel. Speakers will be financially responsible for their own travel, hotel accommodations and parking. In order to obtain special Conference rates, be sure to mention that you are part of The HRSouthwest Conference. Hotel blocks fill up fast, so please make your reservations as soon as possible.

Policy on Video Taping
As a reminder, video taping is not permitted during your session. However, if you would like your session audio taped, please advise your liaison in advance so we can accommodate your request.
Presentation & Handouts
All speakers will be responsible for having copies of their handouts made available for session attendees. Stay tuned for special offers for copying services and delivery from FedEx Office.
All educational session presentations should utilize the official HRSouthwest Conference PowerPoint template. Click here to download the template.
Registered Conference participants will have the option of downloading session handouts from the Online Learning Center. These reference materials are highly valued by Conference participants and speakers are strongly encouraged to make handouts available in this format. Deadline to submit downloadable session handouts is September 25, 2013. Specific instructions will be provided speakers by the Educational Sessions committee liaison.

Shipping Your Handouts
The Conference organizers will deliver your session handouts to the Fort Worth Convention Center if they are received at the address below by October 9, 2013:

Check-In and Badge Pick-Up
Please arrive at the Fort Worth Convention Center no less than 30 minutes before your session begins. Go directly to the Speaker Prep Room (Room 101) to pick up your badge and check in. Room 101 will be open:
Monday – 6:00 am – 5:30 pm
Tuesday – 6:00 am – 5:15 pm
Wednesday – 6:00 am – 11:00 am
A session coordinator will meet you in Room 101 to assist you as needed.
